  1. Call to Order at 10:09am
  2. Attendance: Chris Danforth, JT Halbert, Johanna Pressley, Bob Shuttleworth, Suzanne Sindi, Qing Xia
  3. New Business
    1. Graduation Conference
      1. Participants
        1. Not clear if the spotlight people should get longer talks
        2. Undergraduates: Target those that are in the honors program (already have the honors thesis) also target undergraduates in RIT programs (this involves the VIGRE)
        3. Poster Session: The idea is use posters already done. Posters targeted at RIT’s to recruit people.
        4. Panel Discussion: People who are graduating; and those recent graduates: Will Ott, Sarah Brown, Gustavo Rohde, Danny Dunleavy, Ryan Lance, Ian Frommer, Brandy Rapatski, DJ Patil, Ioannis, Kobi Snitz; talk to grad department head about other people
        5. Emphasis on getting STAT students involved; we will work on out reach
      2. Funding
        1. Request $1,500 – 2,000 planned. $400 from SIAM, $500 VIGRE, $500 GSG, $100 from Math, AMSC,IPST,STAT,CSCAM,AWM(?)
        2. Expenses: Food; do a nice lunch not as late for dinner
        3. Expenses also for advertising
      3. Advertising
        1. Plan to print the fliers on campus
        2. We need a new logo.
        3. Get out the word to undergrads: Math Club, Honors Programs, RIT
        4. Get out the word to grads: lists from Alverda and Darcy, Informational meeting, individual contacts
        5. Ideas to make the conference more professional; have a printed schedule of talks and abstracts
      4. Scheduling
        1. Do not want to have close to finals; Mid-April
        2. Thursday or Friday of a week are good choices
        3. Perhaps have the talks at 3pm coincide with the Dept Seminar
        4. Have talks in room 3206 and have refreshments in the Lounge
        5. If we have parallel sessions will need to reserve other rooms
      5. Website
        1. JT maintains the Spotlight website and has volunteered to maintain this website
        2. Goal: have all the programs have a link to the Conference Website on their main page
      6. Allocation of Responsibilities
        1. Contact People for Panel Discussions - Suzanne Sindi
        2. Financial Affairs - Bob Shuttleworth
        3. Website - JT Halbert, Aaron Lott
        4. Talk to RIT folks about advertising in a poster session and to involve their students - JT Halbert
        5. Find out who is graduating (grads and undergrads): Johanna Pressley, Qing Xia
        6. Reach out actively to STAT People: Qing Xia
        7. Room/Equipment Reservation and Securing a place in the math seminar; Chris Danforth
        8. Scheduling an informational meeting for February; Chris Danforth
  4. Member Business
    1. AMSC does not have voting rights in GSG only departments, will participate as Math Department Reps
